Organize Your Inbox

A simple way to go through your inbox once, reduce noise, and leave it in a state that feels manageable.

Steps
  1. 01
    Decide what “done” looks like
Before opening your inbox, decide what you’re aiming for, such as fewer unread emails or just understanding what actually needs attention today.
  2. 02
    Scan, don’t read everything
Go through the inbox quickly to get a sense of what’s there without opening or responding to messages yet.
  3. 03
    Delete obvious noise
Remove newsletters, promotions, and emails that clearly don’t need your attention so they don’t compete with important messages.
  4. 04
    Handle quick replies immediately
If a reply takes less than a minute, do it right away and move on instead of saving it for later.
  5. 05
    Mark what needs real time
Flag or move emails that require more thought, work, or coordination so they’re clearly separated from everything else.
  6. 06
    Stop before overdoing it
Once the inbox feels understandable again, stop and leave the rest for later instead of trying to reach zero.
