Steps

    Decide what you’re saying no to
    Be clear with yourself about what you’re declining so the message doesn’t come out vague or confusing.

    Acknowledge the request
    Briefly recognize the other person’s request or intention so they feel heard, not dismissed.

    State the no directly
    Say no in a clear, simple sentence without adding unnecessary justification or qualifiers.

    Give a short reason if needed
    If appropriate, offer one concise reason, stopping before it turns into a defense.

    Avoid offering alternatives by default
    Only suggest another option if you genuinely want to, not to soften the no.

    Close the conversation
    End the exchange cleanly so the no doesn’t reopen itself later.
