Target

A box or pile of donated books sits unsorted at the receiving table with no condition notes, donor info attached, or intake records.

Obstacle

Donations arrive mixed in format and condition without consistent donor paperwork, which makes acceptance decisions and data entry slow; limited table space and a single device create a bottleneck.

Expectation

Each book has a clear accept/reject decision, a one-line condition note, an intake log entry with donor/title/author/ISBN when available, and accepted items are labeled with a provisional barcode and assigned a temporary shelf or resale location.

Steps
  1. 01
    Unpack and pre-sort donations
    Open boxes, remove packaging, and group books by size and broad category (fiction, nonfiction, children's, reference) on the receiving table; set aside fragile or oversized items.

    Inspect each book and decide
    Check cover, binding, and pages for damage; mark each book as Accept, Reject, Repair, or Resell and place a sticky note with a one-line condition note (e.g., 'good', 'water-stain p23').

    Create intake log entries
    Enter donor name, title, author, ISBN if present, condition note, and decision into the intake spreadsheet or catalog system; assign a provisional ID for accepted items.

    Label accepted items and assign location
    Print and attach a provisional barcode label to each accepted book, write the provisional ID inside the cover, and record a temporary shelf or resale bin location in the log.

    Move books to destinations and finalize batch
    Transport accepted books to shelving area or resale bin, place rejects in recycling or donation-out box, and update the intake log to mark the batch processed and note any follow-up needed (repairs or detailed cataloging).
