Run this before a hybrid meeting to confirm the room display, audio routing, and remote participant connections work. Use it when presenters arrive or when you are the meeting host preparing the room.
Presenter laptop is not connected to the room display, room audio output and microphone pickup have not been verified, and remote participant access has not been confirmed.
Presenter devices use different connector types than the room system which can delay connection, conferencing credentials or single-button join options may be unknown, and microphone pickup can produce low volume or echo if routing and gain are not adjusted.
Presenter laptop displays on the room screen, room speakers and microphone transmit audio to and from remote participants at a clear volume with no echo, and remote attendees can see and hear the presenter.

- 01 Gather AV cables and devicesCollect HDMI cable, required adapters, room remote/tablet, presenter laptop, and a backup adapter; place them on the presenter table.⏱ 2 min
- 02 Connect laptop to room displayPlug laptop into the display using the correct cable/adapter, select the room input on the display or control tablet, and confirm the presenter screen shows full-screen content.⏱ 4 min
- 03 Set and test audio routingSet the laptop audio output to the room sound system, play a 10–20 second test audio file at 50% system volume, and adjust room speaker volume until speech playback is clear without distortion.⏱ 3 min
- 04 Start conferencing app and verify remote feedJoin the meeting on the room device or laptop as host, admit or invite a remote participant, enable camera/mic, and confirm the remote participant sees the room display and hears audio.⏱ 3 min
- 05 Check mic pickup, echo, and fallback stepsStand at the presenter position and speak at normal volume while the remote confirms clarity and absence of echo; if issues appear, switch to the USB conferencing device or lower gain and document the chosen input and quick fallback steps for the meeting host.⏱ 3 min
