Relevant details are spread across a chat transcript, handwritten notes, and memory, making it hard to assemble a concise log entry; you're also unsure whether the issue requires a follow-up and what priority to set.

Expectation

The interaction is entered in the assistance log with key details and attachments, a follow-up event is scheduled on the shared calendar with a reminder, and the patron and relevant staff receive a notification.

Steps

    Collect interaction details
    Open the chat transcript, phone log, or handwritten note and extract: patron name, contact, date/time, issue summary (1-2 sentences), actions taken, and any promised items or deadlines; copy these to a single draft.

    Create assistance log entry
    Open the LMS assistance log, create a new entry using the draft: paste the issue summary, steps performed, outcome, and tag the entry with relevant categories and priority level.

    Attach evidence and links
    Upload any supporting files (screenshots, transcripts, forms) or paste links into the log entry and confirm attachments open correctly.

    Schedule follow-up
    If follow-up is needed, create a calendar event with date/time, add the patron or contact method, set a reminder for yourself and staff, and mark the event with the same priority used in the log.

    Notify patron and update team
    Send a short message to the patron summarizing the outcome and scheduled follow-up, then post a one-line update to the team channel with the log entry link and calendar event link.
