Target

Today's van odometer reading, miles driven, and fuel purchase details are scattered between paper receipts in the vehicle and photos on the phone and have not been entered into the official log.

Obstacle

Paper receipts are in the glovebox or trunk while other receipts are photos on the phone, the odometer reading hasn't been recorded yet, and the log template requires specific fields (start/end, miles, fuel volume, cost) which causes uncertainty about where to place each item.

Expectation

The official mileage and fuel log contains start and end odometer readings, calculated miles driven, each fuel purchase's volume and cost, and attached receipt photos or scans for today's deliveries.

    Gather receipts and device
    Retrieve all paper fuel receipts from the glovebox and trunk, open the phone gallery and select receipt photos, and place all receipts together for transcription or attachment.

    Record odometer readings
    Write down the van's current odometer reading and confirm the recorded shift starting reading from the log or previous entry.

    Calculate and enter miles
    Subtract start odometer from end to calculate miles driven, then enter start, end, and total miles into the mileage log or spreadsheet.

    Transcribe or attach fuel receipts
    For each fuel purchase, enter date, station, fuel volume and cost into the log and attach the matching photo or scanned receipt file.

    Verify and save log
    Check every field for completeness, save the spreadsheet or sync the log to cloud storage, and send a confirmation message to the supervisor or reporting channel if required.
